This Privacy Policy explains how Copper Holler Surplus, LLC ("Copper Holler," "we," "us," or "our") collects, uses, discloses, and protects personal information when someone visits copperhollersurplus.com, contacts us, requests a quote or invoice, purchases an item, or otherwise interacts with us.
Our privacy approach
We collect the information reasonably needed to answer inquiries, document and complete sales, arrange pickup or delivery, prevent fraud, and comply with our legal and accounting obligations. We do not sell or rent personal information, and we do not use personal information for cross-site behavioral advertising.
Our current website does not intentionally deploy advertising pixels, behavioral-advertising tools, or third-party audience analytics. Our hosting and security providers may still process basic technical information or use essential technologies to operate and protect the site, as explained below.
1. Information we collect
Information provided directly
When someone emails, calls, texts, requests a quote or invoice, or otherwise communicates with us, we may receive information such as:
- name, company name, job title, email address, and telephone number;
- billing, shipping, pickup, or delivery address;
- the inventory item, quantity, offer, delivery ZIP code, and questions submitted;
- communications, photographs, measurements, specifications, or other information voluntarily provided; and
- resale or other tax-exemption documentation.
Transaction and fulfillment information
If a purchase is completed, we may maintain the invoice, amount, payment status, payment method, transaction identifiers, correspondence, shipping instructions, carrier and tracking information, pickup documentation, delivery records, and related accounting or dispute records.
Payment information
When a third-party invoicing or payment processor is used, payment-card information is submitted directly to that provider under its own privacy policy. We may receive transaction confirmation, amount, billing status, and limited billing or payment information needed to document the sale. We do not ask customers to send complete card numbers or card security codes by email or text, and we do not intentionally store that information ourselves.
A bank processes wire transfers and may provide sender, reference, amount, and other information appearing in ordinary banking records. Customers should never send online-banking passwords or credentials to us.
Website and technical information
Our website host and security systems may automatically process technical information such as IP address, browser or device type, requested page, referring page, timestamps, error information, security events, and essential cookies or similar technical identifiers. Our current security provider may use strictly necessary bot-management technology, including Cloudflare's __cf_bm cookie, to manage traffic, identify automated activity, and protect the website. This information is used to deliver, maintain, troubleshoot, and secure the website.
We do not currently use this technical information to build advertising profiles or intentionally track visitors across unrelated websites.
Marketplace information
If a purchase or inquiry originates through eBay or another marketplace, that marketplace collects information under its own privacy policy and may provide us with information needed to communicate with the buyer, complete the transaction, comply with marketplace requirements, and fulfill the order.
2. How we use information
We may use personal information to:
- answer questions and provide requested photographs, measurements, or item information;
- prepare quotations, invoices, receipts, and tax documentation;
- verify and process payments;
- arrange parcel shipping, freight, insurance, delivery, or appointment-only pickup;
- communicate about an order, delivery, discrepancy, or payment concern;
- maintain inventory, accounting, tax, transaction, and compliance records;
- detect, investigate, and prevent fraud, abuse, security incidents, or unlawful activity;
- establish, exercise, or defend legal claims and enforce our agreements;
- comply with laws, lawful process, and regulatory obligations; and
- send specifically requested inventory notifications. A recipient may stop those notifications at any time by replying or contacting us.
We do not use personal information for unsolicited mass marketing.
3. When we disclose information
We may disclose personal information to the following categories of recipients when reasonably necessary:
- website-hosting, domain, security, email, and telephone providers that support our operations;
- invoicing and payment processors, banks, and fraud-prevention providers;
- parcel, freight, crating, insurance, delivery, and pickup providers;
- accountants, tax professionals, attorneys, insurers, and other professional advisers;
- a marketplace when a transaction originated there or its rules require the information;
- governmental, regulatory, law-enforcement, or judicial authorities when required by law or lawful process, or when reasonably necessary to protect rights, safety, or property; and
- a successor or prospective successor in connection with a merger, financing, reorganization, sale of assets, or transfer of the business, subject to appropriate confidentiality and applicable law.
We may also disclose information at the customer's direction or with consent.
We do not sell, rent, or trade personal information to data brokers or advertisers. We do not disclose personal information for cross-site behavioral advertising.
4. Retention
We retain information only for as long as reasonably necessary for the purposes described in this Policy, including transaction completion, customer service, tax and accounting requirements, fraud prevention, contract enforcement, dispute resolution, and legal compliance.
Completed-sale records are generally retained for seven years, with a shorter or longer period used when appropriate or legally required for tax, accounting, legal, fraud-prevention, dispute, or recordkeeping needs. Inquiry records that do not result in a sale are retained only while reasonably needed for follow-up, inventory matching, security, or dispute purposes. Information is then deleted, destroyed, or de-identified when reasonably practicable.
5. Security
We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information we maintain. Access is limited to people and providers that need the information for legitimate business purposes.
No Internet transmission or storage system can be guaranteed completely secure. Customers should not email or text complete payment-card numbers, security codes, passwords, online-banking credentials, or other unnecessary sensitive information.
If a communication appears to change our payment instructions, independently verify it by calling the telephone number published on our website before sending funds.
6. Cookies, analytics, and privacy signals
We have not intentionally installed third-party advertising cookies, behavioral-advertising pixels, or audience-analytics services on the current website. Our host and security providers may use essential cookies, logs, or similar technologies needed to provide and protect the site.
Because we do not currently sell personal information or use cross-site behavioral advertising, browser "Do Not Track" or Global Privacy Control signals do not change our current practices. If our use of cookies, analytics, or advertising technologies changes, we will revise this Policy and provide any choices required by applicable law.
7. Privacy requests and choices
A person may contact us to request access to, correction of, or deletion of personal information associated with that person. We may need to verify identity before acting on a request. We will evaluate and respond within a reasonable time and in accordance with applicable law.
We may deny or limit a request when retaining or using the information is reasonably necessary to complete a transaction, maintain tax or accounting records, detect fraud, preserve evidence, establish or defend legal claims, protect another person's rights, or comply with law. Depending on the person's residence and applicable law, additional privacy rights may exist.
Requests may be sent to sales@copperhollersurplus.com.
8. Children
The website is intended for a general business and adult audience and is not directed to children under 13. We do not knowingly collect personal information from a child under 13. If a parent or guardian believes a child provided information to us, please contact us so we can review and delete it as appropriate.
9. Third-party websites and services
Our website or communications may link to manufacturer documentation, payment providers, carriers, marketplaces, or other websites that we do not operate. Their privacy practices are governed by their own notices, and we are not responsible for those practices.
10. Changes to this Policy
We may update this Policy when our practices, providers, website features, or legal obligations change. The revised version will be posted with a new effective date. Changes apply prospectively unless applicable law requires otherwise.
This Policy should be reviewed before we add a contact form, customer accounts, newsletter service, embedded or hosted checkout, new payment or invoicing provider, analytics, advertising pixels, or other technology that changes how information is collected or disclosed.
